Have you ever been in a room when a microphone suddenly stopped working, a presentation slide wouldn’t load, or the sound cut out unexpectedly? If you have, then you’ve seen firsthand how quickly technical challenges can impact an event. When everything is working as it should, those behind-the-scenes details often go completely unnoticed. Microphones should be clear, slides should appear on cue, and lighting should be perfect for every moment. What most people don’t realize is that none of these things happen automatically. During my time shadowing the Production Crew (also known as the AV crew) I gained a new appreciation for the people working behind the scenes to make every event run smoothly.
The AV crew plays a critical role in supporting Montreat Conference Center’s core value of experiencing connection. Whether it’s through worship, keynote sessions, or special events, meaningful connections can only happen when participants are able to focus on the experience rather than technical issues. While guests may only notice the AV team when something goes wrong, the reality is that their hard work and preparation prevent many problems from happening in the first place.
One of the first things I noticed while shadowing the team was just how much preparation takes place before an event even begins. Long before attendees enter Anderson Auditorium, the AV crew, along with other conference staff members, are testing microphones, checking sound levels, loading presentation slides, and making sure every piece of equipment is functioning properly. I had the opportunity to work alongside the team during Montreat Youth Conference Variety Show rehearsals and worship rehearsals, and it quickly became clear that what appears effortless to the audience is the result of hours of planning, setup, and troubleshooting.

The AV also works closely with conference planners, speakers, musicians, and worship leaders. Effective communication is essential because every event has different technical needs. Some sessions require presentations and videos, while others involve live music, worship, or panel discussions. The team must adapt to each situation and ensure everyone involved has the tools they need to succeed.
Throughout summer conferences, the AV crew remains focused behind the scenes. Whether they are managing audio levels, advancing presentation slides, controlling lighting, or solving unexpected issues, they must be ready to respond at a moment’s notice. One thing that impressed me most was how calmly and efficiently the team handled challenges as they arose. Problems that could easily cause stress for others were met with quick thinking and professionalism.
During my time with AV, I worked alongside co-coordinators Sophie and Brandon, as well as Jacob, Elias and Anthony. Sophie and Brandon have spent the last three years serving as co-coordinators, and it is easy to see why they make such a strong team. Their leadership, communication, and technical knowledge help keep events running smoothly from start to finish. Jacob and Elias, both second-year summer staff members, also demonstrated the skills and adaptability required for the job. AV demands people who can think on their feet, stay calm under pressure, and solve problems quickly, and the nine AV team members embody those qualities every day.

My experience shadowing the Production Crew, AV, gave me a greater appreciation for the people working behind the scenes, whether they are sitting in the front row of the Aud or monitoring everything from the sound booth. While attendees often remember powerful speakers, meaningful worship services, and memorable performances, many of those moments would not be possible without the support of AV. Their technical expertise and attention to detail create an environment where participants can fully engage with the conference experience.
After spending time with the team, I realized that AV is about much more than microphones and soundboards. They are problem-solvers, collaborators, and servants who work tirelessly to help others connect through worship, learning, and community. Their dedication not only supports every successful conference but also reflects Montreat Conference Center’s commitment to creating meaningful experiences for everyone who comes through its doors.
